CALENDAR OF EVENTS & CHECKLIST FOR THE

2012-2013 ACADEMIC YEAR

The purpose of this section is to identify Phi Delta Phi activities and responsibilities in the order you and your officers must face them -- chronologically during the school year.

AUGUST 2012

Magisters should have been contacted by, or have contacted, their Province President shortly after being elected. If not, contact with your Province President by phone, letter or email should occur no later than the first day of school. Remember: Province Presidents and Headquarters are there to help you. Don't hesitate to ask for assistance.

Plans should be finalized for FIRST WEEK OF CLASS activities to acquaint new students with Phi Delta Phi. If you have not already scheduled events, call an officers' meeting and prepare a fall schedule of activities and set semester goals. Let your Province President know your plans.

Order free Inn Supplies / Recruiting Materials from Headquarters. Allow 2-3 weeks for delivery.

Purchase a PDP banner from Spirit Recognition or design a custom banner for the Inn with VistaPrint.com.

Rush early; orientation is a good first rush opportunity; use powerpoint presentations and table displays; encourage responsible behavior where alcohol is available.

SEPTEMBER 2012

3 Labor Day (US) – Headquarters Closed

7 Guidelines and Applications posted on website for Balfour Scholarship, International Exchange Scholarship and Balfour Minority Scholarship

Faculty advisors and the Dean should be invited to participate in every Inn initiation and other activities. They are a valuable asset.

Call on Barristers Inns and local Barristers to participate in Inn activities. Headquarters can help you find barristers in your area.

OCTOBER 2012

Province President visit, if possible, should coincide with Initiation. Province Presidents can give a short speech about PDP, its purpose, history and activities. Have a camera available and post photos and a short blog on the Inn's web page. There should be at least one barrister on the initiation panel. Invite friend and family of initiates and hold a small reception afterward – a great opportunity to network.

12 DEADLINE: Inns submit Balfour Scholarship and International Exchange Scholarship Applications to Province Presidents

12 DEADLINE: Inns submit Balfour Minority Scholarship Applications to Headquarters

14-20 CELEBRATION OF FOUNDERS' WEEK

Submit Initiation Form G and Fees collected to Headquarters within 30 Days of Initiation.

NOVEMBER 2012

16 DEADLINE: Province Presidents submit Balfour Scholarship and International Exchange Scholarship Applications to Headquarters

22-23 Thanksgiving Holiday (US) - Headquarters Closed

Submit Initiation Form G and Fees collected to Headquarters within 30 Days of Initiation.

DECEMBER 2012

13 143rd ANNIVERSARY OF PHI DELTA PHI

17 Submit any outstanding initiation forms and fees to Headquarters BEFORE the Winter Break

24-31 Winter Holiday Break - Headquarters Closed

31 Phi Delta Phi International's Fiscal Year Ends

JANUARY 2013

1 HAPPY NEW YEAR! - Headquarters Closed

7 Guidelines and Applications posted on website for Inn of the Year & Graduate of the Year Magisters and Province Presidents should be in touch first or second week of semester to discuss the Spring event schedule. Give Province Presidents advance notice of an event so that he or she might be able to attend.

31 2012 Balfour Scholarship Program, International Exchange Program and Balfour Minority Award Winners Announced

FEBRUARY 2013

5 Feb 5, 1870- First Phi Delta Phi Initiation

8 DEADLINE: Inns submit Inn of the Year and Graduate of the Year Applications to Province Presidents

11 Begin period of observation of PHI DELTA PHI ETHICS WEEK (Feb 11 - Mar 11)

20 Presidents' Day (US) - Headquarters Closed

Submit Initiation Form G and Fees collected to Headquarters within 30 Days of Initiation.

MARCH 2013

Consider initiating an Honorary member (Province Presidents must pre-approve choice). Invite friend and family of initiates and hold a small reception afterward – a great opportunity to network and seek out job opportunities

1 Schedule Inn meeting for election of new officers (required on or before first Tuesday of April)

8 DEADLINE: Province Presidents submit Inn of the Year and Graduate of the Year Applications to Headquarters

11 End period of observation of PHI DELTA PHI ETHICS WEEK (Feb 11 – Mar 11)

Submit Initiation Form G and Fees collected to Headquarters within 30 Days of Initiation.

APRIL 2013

1 DEADLINE: Hold Elections for new 2012-2013 Student Inn Officers Clerk Submit Form H -Officer Election Report on website.

This is a transition month for new officers to learn responsibilities. Outgoing officers should turn over Inn property to new officers.

- The outgoing Exchequer takes the new Exchequer to the bank to have new signature cards.

8 Recipients of the Inn of the Year and Graduate of the Year Awards Announced

- The new Magister submits Convention forms to Headquarters during Convention years

- The new Magister/Exchequer order Certificates of Merit for outstanding outgoing officers and advisors & Graduation Cords for 3L's

Submit Initiation Form G and Fees collected to Headquarters within 30 Days of Initiation.

MAY, JUNE, JULY 2013

May 14 Officers should begin planning for the fall

- The outgoing Magister/Exchequer submits the IRS e-990 form online (ask Headquarters for assistance).

May 27 Memorial Day (US) – Headquarters Closed

July 4 Independence Day (US) – Headquarters Closed
